Parts of the Services let you submit free form content, attachments, and other data for processing through the Services, as well as questions and feedback on the Site or otherwise in connection with the Services. Such shared content is submitted at your discretion, and you represent and warrant that you are permitted to submit all such shared content for processing.

Activity Data

When you use the Services, we collect certain data to track your progress including, without limitation, your active processing tasks, workflow progress, active workflows, as well as deadlines and reminders.

We may invite you to complete a survey or participate in a promotion (e.g., contest, pricing discounts), either through the Services or a third-party platform. If you participate, we will collect and store the data you provide as part of participating, such as your name, email address, postal address, date of birth, or phone number. Information we collect when you browse our Site.


We do not access information about your identity while you browse our Site. Although we collect information about the date, time, and area of our Site that you visited, you remain anonymous to us. Only if you decide to pay for and use our Services and register for an account do we collect any personally identifying information about you. 

Use of Tracking; Use of IP Addresses.


An IP address is a unique number that is automatically assigned to your computer whenever you are surfing the Internet so that your computer can be identified by the main computers, known as “Web servers,” that “serve up” or display webpages. This allows us to identify and gather general information and data about you, such as the webpages you view.

Rapidio collects IP addresses for the purposes of system administration and security, to report on aggregated information, and to audit the use of our site. Aggregated information is intended for Rapidio internal use only and is part of our performance tracking and diagnostic processes. When users request pages from Rapidio, our servers log the users’ IP addresses. We do not normally link IP addresses to anything personally identifiable, which means that a user’s session will be logged, but the user will remain anonymous to us unless they register for an account with us to access our Services. We can, and will, use IP addresses to identify you when we feel it is necessary to enforce compliance with our Site Terms of Use or to protect our Services, Site, users, or others.

Rapidio uses a variety of third-party services to help provide the most streamlined and user-friendly Site possible. We also use third parties such as Google Analytics to help us understand how our visitors use our Site. Web beacons

Our third-party service provider employs a software technology called clear gifs (a.k.a. Web beacons/Web bugs), that help us better manage content on our site by informing us what content is effective. Clear gifs are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of Web users. In contrast to cookies, which are stored on a user’s computer hard drive, clear gifs are embedded invisibly on Web pages and are about the size of the period at the end of this sentence. We may tie the information gathered by clear gifs to our customers’ personally identifiable information.

We may use clear gifs in our HTML-based emails to let us know which emails have been opened by recipients. This allows us to gauge the effectiveness of certain communications and the effectiveness of our marketing campaigns.
